Setting up AV for Video Calls

The Problem

While working for Kravit eLearning Consultancy, a counseling client reached out for help in improving video calls between their counselors and patients.

As more and more patients and counselors are working together remotely, some counselors have poor audio and video during their video calls and unprofessional office/home environments. This leads to a less than ideal session for the patient and sometimes even causes them to leave the counselor or counseling altogether.

Challenge Introduction

The Solution

I recommended a scenario-based technical training eLearning that allows the counselors to practice the skills necessary to improve their audio and visual quality in a risk-free environment. In addition, a scenario-based eLearning will show counselors the realistic, memorable consequences of making the most common errors. Seeing these consequences and practicing the correct actions will help them avoid making these mistakes in the real world.

The client recognized that the eLearning experience would help resolve their pain points and signed off to proceed with the solution.

The Process

After spending time researching the topic and speaking with the director of the counseling-services practice, I wrote the design document outlining the purpose, audience, training recommendations, deliverables, and topics that would be covered based on the learning objectives.

Using a backward-design process, I designed interactive tasks to assess their knowledge and skill gaps. Then, I wrote all of the text, interaction, and programming notes on the storyboard. I also decided on the color scheme, text, and buttons. Finally, I created a mockup of some common slides using Canva. I presented all of this to the SME and with their approval, started working on an interactive prototype. I planned out the slides and flow of the project using Canva and powerpoint. After the pilot group of learners and SME reviewed the prototype, I took their recommendations and finished the final project in Storyline. I also added xAPI and added a form to input the learner’s name so I could track the learners in the LRS.

Highlights

I utilized a lot of Instructional Design theory to inform my process and design decisions in making this course. Using Gagne’s 9 Events of Instruction, for example, I used an introduction in the form of a short video of Parisian scenes to gain the learner’s attention. I then cast the learner in the “Emily in Paris” netflix series. Only a little reference is given to the series however, so that it is still relevant for learners who have never seen the series and evergreen so it will age well as the client’s counselors continue to use the eLearning for years to come.

I also decided to have them perform the task and give them guidance in the form of a mentor character whenever they needed help. By providing them with only as much information needed to complete a task, it helps them retain the information better than merely presenting information without a real-life scenario. After completing the task, they receive feedback so they can learn from their mistakes.

At the end of the practice portion of the course, they have an assessment where they must perform the tasks in a high-stakes situation without any guidance.

Mentor character introduction

I added entertaining and immersive elements to the project to keep the learner engaged. I added an affect where they enter a doorway to go into various rooms to explore objects.

I also made a short 2-minute Vyond video that serves to give the learner information while helping them think about the consequences of having an unprofessional environment.

The Result

The eLearning module was well-received by the counselors and pilot group. The counselors saw a 25% increase in quality patient satisfaction when asked about the quality of video calls according to their website. The counselors also reported they were immediately more aware of and confident in how to set up their environment and AV equipment.
